Here's the twist we don't advertise. Nobody knows it's coming. Teams register together, tee off together, and play the front the way they expect.

Then, at the halfway horn, everybody stops. "You've been switched."

Every cart keeps its driver as the anchor — everyone else gets moved to a different cart with people they've never met. You finish the back nine as a brand-new foursome. It's a networking group: the whole point is to walk off the 18th having made a real connection you didn't plan on.

Five decisions to lock first

Everything downstream — pricing, sponsors, venue size — flows from these. Two are open questions for the board this morning.

Format

4-person scramble

Shotgun start. Social, forgiving for weaker golfers, everyone finishes together. The Switch rides on top of this.

18 teams (72 players) is easy. 36 teams (144) is a full shotgun and roughly doubles revenue — but needs a larger course.

Where the proceeds go

Charity, JVPNG operating fund, or a scholarship. This decides tax handling and the whole sponsor pitch. A charity angle closes sponsors faster.

Pricing

$150–200 / player

$600–750 per team is the Houston range for a scramble with cart, range, lunch, and a drink ticket. Early-bird rewards early sign-ups.

Leadership

Chair + 3 leads

One chair with final say, plus leads for Sponsorship, Registration, and Day-Of Logistics. Sponsorship is the job that makes or breaks it.

Registration, payment, sponsor sign-up, and this brief all run through Cyberfix / ArkOS. No paper forms.

The scorecard

Working backward from a target of roughly April 10, 2027. Good spring dates get booked early — the venue is the clock that starts everything.

AUG–SEP '26Venue and date. Quotes from 3–4 courses. Get the full package: green fees, carts, range, food minimums, cart rules.
BY OCT '26Sign the course. Deposit down, rain policy confirmed. Spring dates go fast — don't slip past October.
OCT–NOV '26Sponsorship + budget. Deck finalized, tiers set, title sponsors chased first. Biggest checks take the longest.
DEC '26–JAN '27Registration opens. Online sign-up live. Push through JVPNG meetings and member networks. Early-bird through January.
FEB '27Push and procure. Heavy registration drive. Order banners, tee signs, gifts, prizes, raffle and auction items.
MAR '27Lock everything. Registration closes ~1 week out. Pairings, hole assignments, volunteers, run sheet. Reconfirm food count.
APR '27Event week & day-of. Run the show. (See day-of below.)

The money model

Structure it so sponsorships cover the fixed costs and player fees become profit. Set a target net number now and back into pricing and sponsor goals.

  • Green fees + carts — the course package, your biggest line
  • Food & beverage — lunch plus one drink ticket
  • Prizes — 1st/2nd, longest drive, closest to pin
  • Player gifts — swag bags
  • Signage & printing — banners, tee signs, scorecards
  • Hole-in-one insurance — cheap; lets you dangle a car or big cash prize

Revenue

  • Entry fees — team and individual
